AI Dictation · voice-to-field RICS routing

Speak. It lands in the right field.

Record audio on-site or paste typed notes. Speech recognition transcribes. Our AI engine routes every sentence to the correct RICS field — D2 Roof Coverings, F1 Consumer Unit, B priority items — and infers a condition rating with a 0–1 confidence score. Replay the audio against any routed field. Reject, edit or move any route. Re-dictate single fields without losing the rest of the report.

From speech to structure

A sentence comes in. A field update goes out.

Each routing decision creates a field update with the field path, the routed text, an inferred condition rating, a 0–1 confidence score and a link back to the original sentence in the transcript. You accept, edit or reject — the AI never silently mutates the report.

  • Live labels show which building section the AI is reviewing as it works — "Reviewing roof structure", "Reviewing electrical systems" — not just a spinning percentage bar.
  • Confidence-aware review: high-confidence fields skip review, low-confidence fields get your attention. Saves 20–30 minutes vs. proofreading every line.
  • Style profile and standard phrases are applied consistently so routing always uses your firm\'s voice, not generic survey-speak.
  • Multiple dictation sessions can feed the same report; new sessions merge without overwriting earlier data.
Live routing panel — audio waveform feeding a transcript into three branched element cards: D2 Roof coverings (Rating 2, high confidence), D3 Rainwater goods (Rating 2, high confidence), F1 Consumer unit (Rating 1, high confidence)

How the routing works

From microphone to RICS field — four steps

From microphone to structured RICS field — four stages, all server-side.

1

Record or upload

Speak observations into your phone microphone, or paste typed site notes, or upload an existing audio file. No special app required — any common audio format works.

2

Speech transcription

The audio is transcribed server-side. The full text transcript is stored against your dictation session and shown in the panel so you can verify accuracy before routing.

3

AI routing

In manual mode, the AI maps each sentence to the correct RICS field (D2 Roof Coverings, F1 Consumer Unit, B priority items, and so on), infers a condition rating and attaches a confidence score. In Otto auto-mode, the whole transcript is routed at once in a single pass — all sections populated, style applied, standard phrases matched.

4

Review and accept

Each field update shows: the routed field, the expanded text, the inferred condition rating, the confidence score (0–1) and a link back to the audio at that moment. Accept, edit, re-route or delete — the AI never writes to the report without your sign-off.

Coverage

Every RICS element field, reachable by voice

The routing AI knows the full element structure of both Level 2 and Level 3 reports. Speak about a chimney, a consumer unit or a party wall — the AI recognises the element and routes to the correct field. All 32 fields are reachable in a single dictation session.

Routing intelligence

Condition ratings C1, C2 and C3 are inferred from your spoken description — you don't need to say "condition rating two". Say "showing early signs of decay" and the AI rates the element accordingly, flagging it for your review if confidence is below the threshold.

Level 3 compatible

The same D–G element structure applies to RICS Level 3 Building Surveys. Dictation routes identically; the Level 3 editor then expands each element with its deeper commentary fields.

Not sure which elements are covered by the RICS Home Survey Standard? See the Level 2 report writer or Level 3 report writer for the full section structure.

What's in the dictation panel

More than a transcript

Replayable audio

Click any routed field → highlights the sentence in the transcript → plays the audio at that moment. Audit trail for QA and any post-completion challenge.

Confidence per field

Every routed field shows a 0–1 confidence score so you focus review on the bottom decile, not every line.

Per-field re-dictation

Misrouted? Re-dictate just that field. The new session replaces the old route for that field only — the rest of the report is untouched.

Hide / unhide sessions

Archive an old dictation session without losing the data; unhide later if you need the audit trail.

Standard phrases injection

Top 10 phrases from your personal, firm and preset libraries are passed to the AI as routing context — the AI uses your firm's language, not generic survey-speak.

Style profile injection

If your firm has trained a style profile, it's applied consistently on every routing run so reports read with a single firm voice.

Live progress labels

As the AI works, labels show which building section it's reviewing — "Reviewing roof structure", "Reviewing electrical systems" — so you know exactly where it is, not just that it's running.

Custom rating support

If your firm uses a 5-point scale, the routing prompt rebuilds dynamically and the inferred rating uses your terminology.

Manual override always

Drag any field to a different section, edit content inline, delete the route, change the rating. The AI proposes; you decide.

Who it's built for

Surveyors who want to write faster without writing less

AI Dictation fits into the way surveyors already work on-site. No new equipment, no new habits — just a phone and your voice.

Solo chartered surveyors

A phone is lighter than a laptop and a dictaphone combined. Record observations room by room on-site, upload on the drive home, and collect a structured first draft by the time you park. No manual field entry; no evening typing session.

Multi-surveyor practices

Style profile and standard phrases are firm-wide. Every surveyor routes observations through the same vocabulary, so senior-partner review time drops and reports read consistently — whoever carried out the inspection. Especially useful when onboarding new associates.

High-volume instruction lists

When you're completing three or four Level 2s a week, manual field-by-field entry is the bottleneck. AI Dictation with Otto auto-mode turns a full site recording into a complete first-pass draft, so your time goes on professional judgement — not copy-and-paste.

Professional indemnity protection

Every observation on record. Replay it months later.

RICS professional indemnity claims typically arrive long after the survey is delivered. AI Dictation creates a layered evidence trail that survives that gap: each routed field carries the original audio timestamp, the transcript sentence that generated it, the inferred condition rating and the confidence score you reviewed before accepting. Together, these form a contemporaneous record of your on-site professional judgement — in your own voice.

  • Replayable audio per element: click D2 Roof Coverings, hear exactly what you said at that moment during the inspection. Not a summary — your actual words, timestamped against the inspection.
  • Confidence score as documented judgement: a score below 0.85 was flagged for your review; a score above it was accepted. Either way, the record shows the AI proposed and you decided.
  • Retained against your surveyor account: session audio and transcripts are stored in secure cloud storage. You control deletion — most surveyors retain sessions for the duration of their PI cover period.
  • Edits are explicit: if you changed a route or overrode a rating, that change is visible. The AI's proposal and your decision are separate, dated records.

PI challenge scenario

Six months after delivery

A client disputes the condition rating on D4 Main Walls. They claim no dampness was noted at inspection.

Your response

Open the dictation panel, locate the D4 session, play the audio at that timestamp. Your on-site observation — "slight tide marking visible to base of north gable, condition rating 2, recommend specialist investigation" — plays back in your voice from the day of inspection.

The record

Field: D4 Main Walls — Condition 2, confidence 0.91, accepted by you on the date of inspection. A contemporaneous audit trail, stored and replayable.

How it compares

AI Dictation vs generic voice tools

What makes this different

Four things generic dictation tools don't do

Most voice-to-text apps transcribe speech and stop. AI Dictation continues: RICS-native routing, per-field audio replay, confidence scoring and firm-voice injection are built in as standard.

Per-field audio replay

Click any RICS field — D2 Roof Coverings, F1 Consumer Unit — and the audio plays at the exact timestamp. Not a single recording file: the audio is linked directly to each routed element. The only AI dictation tool that gives surveyors a field-level PI audit trail.

0–1 confidence scoring per route

Every routing decision carries a confidence score from 0 to 1. High-confidence routes can be accepted in a single tap. Low-confidence routes are flagged for review. You spend your time where the AI is uncertain — not re-reading every line. This alone saves 20–30 minutes per report compared with proofreading everything.

RICS-native routing intelligence

Say "bay window felt roof cracking at the abutment" and the AI routes D2 Roof Coverings with a C2 rating inferred. You never say "field D2" or "condition rating two" — the routing engine knows the RICS Home Survey Standard element structure for both Level 2 and Level 3 reports, so it works the same way you think on-site.

Firm-voice injection on every call

Your firm's style profile and top standard phrases are passed to the routing AI on every single call — manual or auto-mode. Routed observations come back in your firm's register from the first draft, not generic survey-speak that needs rewriting before delivery.

Voice command palette overlay inside the report editor — listening with audio waveform; the command 'Mark D2 as rating two and attach last three photos' is being parsed into action chips: D2 Roof coverings, Rating 2, Attach last 3 photos, ready to apply

Voice commands · beyond transcription

Speak the action. Otto runs it.

Dictation isn't just for content. Hold the mic in the editor and issue a command — "mark D2 as rating two and attach last three photos" — and Otto parses your sentence into editor actions. Element targeting, rating updates, photo attachment, section navigation. Hands-free editing while you walk back to the car.

  • Element targeting — "go to F1", "open Section H"
  • Rating updates — "mark this rating three"
  • Photo attachment — "attach last three photos to D2"
  • Always confirms before applying — no surprise edits

How it fits together

Dictation is the starting point — Otto does the rest

AI Dictation feeds your on-site observations into the Otto report pipeline. The moment routing is complete, the rest of the toolset takes over: property data, comparable sales, photo categorisation, style profile — all building on the same report, in order.

1

On-site dictation

Speak observations room by room. Record live in the browser or offline on your phone and upload after the survey.

AI Dictation →
2

Transcription & routing

Speech recognition converts audio to text. The routing AI maps every sentence to the correct RICS field — D1–D9, E1–E9, F1–F7, G1–G3, Section B priority items — with condition ratings and confidence scores.

3

Otto completes the report

In auto-mode, Otto reads the full transcript and populates all sections in a single pass: Section B summary, priority items, condition comments. Your style profile and standard phrases are applied throughout.

In practice

A Level 2 survey wrapped before the drive home

James, a chartered building surveyor, arrives at a 1930s semi-detached in Norwich for a RICS Level 2 Home Survey. He opens Otto auto-mode on his phone and hits record. Over forty minutes he speaks his observations room by room: flat felt roof over the bay extension cracking at the abutment; cast-iron guttering pulling away from the fascia above the front door; the consumer unit contains single-pole MCBs with no RCD protection; damp staining to the chimney breast in bedroom one, likely condensation condensing on the cold flank wall.

On the drive home he taps Upload and route. By the time he parks, the AI has transcribed 2,400 words of dictation, routed 28 field updates across Sections D, E, F and G, identified the flat roof and consumer unit as Section B priority items, and attached a confidence score to every route.

He reviews the seven routes flagged below 0.85 — the rest are accepted with one tap. He opens the editable report to add professional commentary, incorporates two comparable sales from the comparable sales tool, and delivers a completed Level 2 the same afternoon. Total on-site dictation: 40 minutes. Total AI review: 12 minutes.

Choosing the right mode

Manual dictation vs Otto auto-mode

Both modes share the same routing engine. The difference is scope: manual targets a field; auto-mode targets the whole report.

Manual dictation

  • -Routing engine: secondary AI, optimised for targeted additions to an existing report
  • -Use when: supplementing a partly-complete report, re-dictating individual fields, adding site notes after the survey
  • -Sessions accumulate; each new session merges into the existing report without overwriting earlier routes
  • -Style profile and standard phrases injected per call
  • -Best for: partial additions, corrections, top-ups between site visits
See Level 2 report writer

Otto auto-mode

  • -Routing engine: frontier AI engine with careful deliberation across the full report
  • -Use when: you have a full on-site transcript and want the entire RICS report populated in one pass
  • -Your firm's style and RICS instructions are carried forward automatically, so every report benefits from consistent routing — cost-protected across the firm
  • -Live labels show which section the AI is reviewing: "Reviewing roof structure", "Reviewing electrical systems"
  • -Best for: full first-pass report generation from a complete site transcript
See Otto auto-mode

Both modes are free with a verified Home.co.uk surveyor account. Your standard phrases library and style profile are injected automatically in both modes. Once the report draft is ready, enrich it with photo AI or comparable sales, or browse the full surveyor toolkit.

FAQ

Dictation FAQs

How does AI Dictation differ from generic dictation apps?

Generic dictation tools transcribe speech to text and stop there. AI Dictation goes further: speech recognition transcribes, then the routing AI maps every sentence to the correct RICS field (D2 Roof Coverings, F1 Consumer Unit, B priority items), infers a condition rating, attaches a 0–1 confidence score and stores the audio so you can replay it for any field if questioned months later.

Can I dictate on-site without internet?

Record audio offline on your phone, then upload when you're back in coverage. Transcription and routing both run server-side once the audio is uploaded — you don't need to be on-site or online during processing.

Does it support regional accents?

Yes. The speech recognition handles a wide range of UK and international English accents reliably. If a word transcribes incorrectly, you can edit the transcript and re-route that sentence, or correct the text directly in the report editor.

How does AI Dictation help with professional indemnity protection?

Every observation you dictate creates a layered record: the audio file, the transcript sentence, the RICS field it was routed to, the condition rating inferred and the confidence score you reviewed. Months after a survey is delivered — when a PI challenge arrives — open the dictation panel, locate the relevant element and play back exactly what you said during the inspection. The record shows the AI's routing proposal separately from your sign-off, so you can demonstrate that every condition rating reflected your professional judgement. Most surveyors retain session audio for the duration of their PI cover period.

What if I dictate something that doesn't map to a RICS field?

The AI flags low-confidence routings rather than silently absorbing unmatched content. You can move the text to a different field, attach it to a general section (B, C), or delete it. Nothing is automatically written to the report without your approval.

Does AI Dictation work standalone, or only inside Otto?

Both. In manual mode you use it directly inside the Level 2 or Level 3 editor to add observations to specific fields one session at a time. In Otto auto-mode the whole transcript is routed at once by our AI engine, populating all report sections in a single pass.

How accurate is the RICS field routing?

Accuracy depends on transcription clarity and how specifically you refer to building elements. Every route has a 0–1 confidence score: high-confidence routes (above ~0.85) typically need no review; low-confidence routes are flagged. Injecting your style profile and standard phrases consistently raises accuracy by giving the AI firm-specific vocabulary to match against.

How does custom condition rating support work?

If your firm uses a scale other than C1/C2/C3 — for example a 1–5 numeric scale or bespoke labels — you configure rating options in firm settings. AI Dictation runs a keyword-generation step that analyses each rating's description and produces synonyms, phrases and context hints, then rebuilds the routing prompt dynamically so the AI infers the correct custom rating from your spoken observations.

Where is my audio stored, and can I delete it?

Audio files, transcripts and routed field updates are stored in secure cloud storage under your Home.co.uk surveyor account. You control retention: delete any dictation session from the panel to remove the audio and transcript permanently. Your survey content is used solely to deliver the routing service — it is never used to train AI models. Full data-handling details are in your account Data Processing Agreement.

Can AI Dictation be used for a RICS Level 3 Building Survey?

Yes. The routing engine uses the same D–G element structure for both Level 2 and Level 3 reports. When you dictate into a Level 3 report, each observation is still routed to D1–D9, E1–E9, F1–F7 and G1–G3 in the same way. The Level 3 editor then provides the deeper commentary fields for each element — so your dictation populates the same field targets, and you expand the detail in the editor rather than re-dictating.

What audio file formats does the upload support?

Most common audio and video formats are accepted — including MP3, MP4, M4A, WAV, WebM and OGG. If you record on a standard smartphone voice recorder or a dictaphone, the output format is almost certainly supported. You can also use the built-in browser microphone directly in the dictation panel without recording a file at all.

What should I look for when choosing AI dictation software for RICS surveys?

Five things matter most. First: RICS-native field mapping — the software should know that describing a chimney means D1, not just transcribe the word. Second: condition rating inference, so you don't have to say "rating two" explicitly. Third: replayable audio per field for your PI audit trail, not just a single unlinked recording. Fourth: style profile and standard phrases injection so every report sounds like your firm rather than generic survey-speak. Fifth: a confidence scoring system so you focus review time on uncertain routes rather than re-reading every line. AI Dictation on Home.co.uk provides all five as standard, embedded directly inside the RICS report editor.

Does AI Dictation work with typed notes, or only voice recordings?

Both. You can paste typed site notes directly into the dictation panel and route them exactly as you would a voice transcript. This is useful if you already use a shorthand note system on-site, or if you want to combine a brief voice recording with additional typed observations made after the survey. The routing AI treats typed input identically to a voice transcript — RICS field mapping, condition rating inference and confidence scoring all apply.

Can I use AI Dictation on a mobile phone on-site?

Yes. The dictation panel works in any modern mobile browser — no dedicated app required. You can record directly through the browser microphone, or use your phone's built-in voice recorder and upload the file when you're done. Most surveyors either record live through the browser on-site, or record offline with their phone's default voice app and upload the file on the drive home. Both workflows route identically — the transcript, routing and confidence scores are all produced from the uploaded audio.

How does AI Dictation handle background noise during on-site recording?

Speech recognition is optimised for real-world environments. Wind, traffic and ambient site noise are common and handled well. If specific words are garbled by noise, the transcript displays those segments clearly so you can correct them before routing. The most effective measure is positioning the microphone closer to your mouth — an earphone with a built-in mic significantly improves accuracy in noisy conditions. If a segment transcribes poorly, you can edit the transcript text directly and re-route that sentence without re-recording the whole session.

Can I use AI Dictation for a snagging survey or new-build defect list?

AI Dictation is purpose-built for the RICS Home Survey Standard element structure used in Level 2 and Level 3 reports, but surveyors also use it to capture defect observations on new-build inspections. For structured new-build snagging — with a defect list by room, severity categories and client-facing output — the dedicated snagging report tool on Home.co.uk is the better starting point. The two tools complement each other: dictate your on-site observations quickly with AI Dictation, then use the snagging tool for the structured defect list presentation.

How does AI Dictation connect with the property data and comparable sales tools?

AI Dictation populates the condition and commentary sections of a RICS report from your on-site observations. Once routing is complete, the other tools in your Home.co.uk surveyor account add supporting data: the property data tool pulls the EPC rating, floor area, UPRN, flood risk zone and planning history for the inspected address; the comparable sales tool finds similar settled sales within your chosen radius. All three tools share the same report — no need to re-enter the address or switch between systems.

Is AI Dictation GDPR compliant? Who can access my audio recordings?

Yes. All audio files, transcripts and routed field updates are stored in secure cloud storage under your Home.co.uk surveyor account. No third party has access to your survey content. Audio is processed solely to deliver transcription and RICS field routing — it is never used to train AI models. You control retention: delete any dictation session from the panel at any time to remove the audio and transcript permanently. Your survey data is never shared outside your account. Full data-handling details, including your rights as a data subject, are in your account Data Processing Agreement.

How long does transcription take after I upload my recording?

Transcription and field routing typically complete within one to three minutes for a standard on-site recording of up to one hour. You can close the browser after uploading — you will be notified when routing is complete and your field updates are ready to review. For very long recordings over 90 minutes, splitting into two sessions before uploading can reduce processing time and also creates a more granular per-session audit trail for PI purposes.
